Get payment first

I didn't have much problem coming up with a money tip. For me it's simple – get all the money up front. I never send out a letter unless the money is in my bank account.

So that customers know what to expect, I have made it clear on my site that letters are to be paid before they are sent out, and the latest date they need to be paid. There were a couple of customers who wanted to pay after the letters were sent out, and I just told them that the letters would be sent out when I had received payment. They ended up going somewhere else!

I decided on prepayment because I didn't want to be wasting my time following up on a $15 payment.

To make it easy for customers, my sign up page redirects people to a payment page where they can pay with PayPal or direct deposit. This way they can pay when they place their order. This way I don't have to chase them for their money and I have the money in my account to pay for envelopes, stamps and everything else I need to prepare and post letters.

I know this won't work for everyone, but it works well for me.

Taking a break…

I suppose one advantage of being Santa's Helper is that there isn't a lot of work to do over the school holidays. The kids don't know I help Santa with his letters, so I can't work while the kids are around.

During the school holidays, I take a break from business and spend time with the kids. It's also a great opportunity to catch up housework and other tasks that get neglected during term time, such as cleaning out the playroom! For me, school holidays is the time to leave business alone.

I do, however, spend some time researching recipes that could be included with the letters, and even trying some of them out with the kids. After all, I do want the recipes to be easy enough for kids to make at Christmas time, but my kids don't need to know that… baking with them is a lot of fun.

Whatever you do during the school holidays, we all need to find what works for us. For me, it's taking a break, because when school starts up, this little Santa's helper will be gearing up for a very busy time.

Keeping a database

One of the things that I did last year, quite by accident, is to keep a database of the names, addresses and email addresses of the parents who bought letters for their children. Currently the database is quite small, only about 15 families, but it's a great start.

Now that I've decided to do Santa letters again this year, I'm preparing a letter to send to these families, inviting them to order letters from me once again. I haven't sent them letters just yet, however, because I think September is just too early in the year to remind people about Christmas… or is it?

Anyway, back to the database.

Right now, my database is an excel spreadsheet, and it has all the information I need in it. I've also worked out how to do a mail merge to email as well as to a document, so doing a mail out should be fairly easy. I don't know if sending an email will be considered spam or not. If I send a letter in the mail, with an order form, I need to make sure the kids won't see the envelope and open it by accident… I need some help here. Any suggestions?

I'm also adding a column in my database so I can keep track of how many letters each family has ordered and if they order over the years.

I can already see that having a proper database program could be an advantage, but for now, I'm happy with my spreadsheet.

I'm also planning on adding an email list to my website to send out some Christmas tips in the lead up to Christmas as an advertisement for my business… I'm going to add an option for people to subscribe to the list when they buy letters from me too.

I hope this little Santa's Helper can bring in some extra spending money for the holidays again this year.

Ho Ho Ho – from Santa’s Helper

Ho ho ho, my name is Natalie and I'm one of Santa's helpers. Last year, Santa invited me to help him write letters to children. Along with my friend Quinn, we had a great time creating and mailing letters to children all around Australia. So much fun, in fact, that we are preparing to do it again this year. I'm so excited Santa asked us to help again.
